What Fathom is — in our words

Fathom is a meeting-notes-only tool and should be judged as one: it does not manage your inbox, build your schedule, or run your tasks. What it does, very well, is join your Zoom, Google Meet and Teams calls, record and transcribe them without minute caps, and return a clean summary with highlights and next steps moments after the call ends. Its free plan is the standout in this category because recording, transcription and storage are unlimited, with advanced AI summaries limited to a small number of calls each month. Paying mainly removes that summary cap and adds AI action items, follow-up email drafts and Ask Fathom, which lets you query across your meeting history. For a solo founder whose admin pain is specifically remembering what was agreed on client and sales calls, that is often enough, and it pairs well with a separate scheduler like Reclaim. Team and Business tiers add shared search and CRM field sync but require two seats, so they are not solo products despite their lower per-seat figures. The limitation is scope: outside the meeting itself, Fathom does nothing for your day. Buy it for notes, not as an assistant.

What it does end-to-end

  • Records and transcribes Zoom, Meet and Teams calls with no minute cap
  • Produces instant summaries, highlights and clips
  • Extracts action items and drafts follow-ups on paid plans
  • Lets you search and ask questions across past calls on paid plans

What it does NOT do

  • Does not schedule meetings or optimise your calendar
  • Does not triage inbox or manage tasks
  • Team and Business plans are not available for a single seat

Pros — our take

  • Fast, clean summaries that are easy to share with clients
  • Dead simple setup for a solo user

Cons — our take

  • Meeting notes only — no scheduling or inbox help at all
  • Free plan caps advanced summaries, so heavy call weeks push you to Premium
  • CRM field sync sits on the 2-seat Business plan a solo cannot buy alone
